Conditions of Work: 

To support SMGR and SE in all administrative tasks and to provide secretarial assistance to them in their respective segment

Role Overview 

Purpose:

Carries out secretarial and administration duties in a professional and courteous manner, assisting the Sales Team to carry out duties and achieve targets

Main Duties:

• To support SMGR/SE to achieve sales objective and goals as set by the management
• Additional responsibilities for handling and selling cottages according to set targets for this segmentation
• Conduct site inspections
• Check and implement the mailing system to make sure that everybody updates and check the accounts.
• Handle telephone inquiries on overseas and local hotel transient reservations.
• Arrange meetings, provide secretarial support, i.e. typing, dictation, etc. and travel itinerary for immediate supervisor.
• Oversee the workload is being handled and is distributed equitable to ensure proper follow-up.
• Perform any reasonable request made by management.
• Keeping records of travel expenses.
• Updating travel schedule.
• Monthly critique and month end report.
• Coordination, typing and sending company contract agreements for reactive sales persons.
• Keeping inventory of all giveaway items and to whom we are sending.
• Send brochure to various RSOs and GSAs up request.
• Update the competitors report by calling major competitor hotels on the first day of each month to obtain the latest month to date average occupancy and room rate.
• Dispatch the mailings with appropriate contents, letter, envelopes, etc.
• Coordinate taking/distributing Sales and Marketing Meeting Minutes.
• Type agenda for the meetings
• Process mass mailing on required basis.
• Account entries on sales & marketing expenditures and processing of purchase orders.
• Daily trace system. Photocopy or email the covering correspondence with trace date clearly indicated and put the photocopy into individual jacket according to the trace date.
• Retrieve the trace items every morning and distribute to the each individual sales persons.
• Compile all trace materials, sort and put them in appropriate trace date order.
• Ensure meeting minutes be dispatched/out within 48 hours.
• File and passing all correspondences for SMGR/SE including all sales people

Role Specifications

Qualifications Essential

• Good command of written and spoken Russian, Azeri and/or Turkish
• Typewriting English

Experience Essential

• With at least 2 years experience in secretarial or similar role
