Position: Office assistant (temporarily for 4 months)

• Answer incoming phone calls, identify the caller's purpose and forward them to the internal subscribers. If someone is unavailable to take the call, then take a message for a return call. Receive and send facsimile massages and forward them to the addressees. To scan documents.
• Registration of incoming and outgoing documents
• Making official letters
• Making reports on vacation days.
• Where necessary, translate correspondence from or into a foreign language, type into a standard format. Formalize texts of letters and messages.
• Grant visitors access to the office through security, meet visitors and introduce them to GSK employees,
• co-ordinate meeting-room booking;
• Support in providing transfer arrangements for GSK employees and guests together with Fleet Manager.
• To organize supply, delivery and distribution of stationery, office paper, business cards, paper, water, refreshments in order to provide continuous and uninterrupted operation of the Office.
• Ensure prompt and accurate organization of business trips for GSK Azerbaijan employees and GSK Azerbaijan guests
• Provide assistance in visa getting process.
• Support and organise travel, accommodation and transfer arrangements for GSK employees and guests.

Requirements:

• College/High School
• Working English/Russian oral and written
• Good PC skills (Microsoft Office standard applications)
• Good communications skills
