Main duties:

  • Oversee the organization, classification, and storage of company documents/procedures.
  • Maintain an efficient and accessible filing system for various departments.
  • Maintaining the security of confidential documents.
  • Ensure compliance with document retention policies and legal requirements.
  • Establish and enforce document control procedures across departments.
  • Designing templates for documents, file types, and document databases.
  • Monitor the lifecycle of documents, from creation to archiving, to ensure accuracy and completeness.
  • Collaborate with different departments to gather, review, and process documents.
  • Manage version control for critical documents to avoid discrepancies.
  • Implement and maintain a system to track revisions and updates.
  • Facilitate effective communication regarding document control processes and requirements.
  • Work closely with department heads to address document-related queries and concerns.
  • Conduct regular audits to ensure document accuracy and compliance with company standards.
  • Identify areas for improvement in document management processes.

Requirements:

  • More than 3 years of proven experience as a Document Controller or similar role.
  • Bachelor's degree in Business Administration, Economics or another relevant field.
  • Familiarity with document management systems and software.
  • Strong attention to detail and organizational skills.
  • An excellent grasp of Microsoft Office programs.
  • Professional fluency in Azerbaijani and English languages.
  • Excellent communication and interpersonal abilities.
  • Knowledge of relevant industry regulations and standards.
