Main duties:
- Oversee the organization, classification, and storage of company documents/procedures.
- Maintain an efficient and accessible filing system for various departments.
- Maintaining the security of confidential documents.
- Ensure compliance with document retention policies and legal requirements.
- Establish and enforce document control procedures across departments.
- Designing templates for documents, file types, and document databases.
- Monitor the lifecycle of documents, from creation to archiving, to ensure accuracy and completeness.
- Collaborate with different departments to gather, review, and process documents.
- Manage version control for critical documents to avoid discrepancies.
- Implement and maintain a system to track revisions and updates.
- Facilitate effective communication regarding document control processes and requirements.
- Work closely with department heads to address document-related queries and concerns.
- Conduct regular audits to ensure document accuracy and compliance with company standards.
- Identify areas for improvement in document management processes.
Requirements:
- More than 3 years of proven experience as a Document Controller or similar role.
- Bachelor's degree in Business Administration, Economics or another relevant field.
- Familiarity with document management systems and software.
- Strong attention to detail and organizational skills.
- An excellent grasp of Microsoft Office programs.
- Professional fluency in Azerbaijani and English languages.
- Excellent communication and interpersonal abilities.
- Knowledge of relevant industry regulations and standards.
