Department: Office Management

Function: Receptionist

Reporting to: Office Manager

1. Department Description

Office Management is responsible for providing organisational support to the main activity of the NEIHRepresentative Office.

2. Purpose of Role

The Receptionist will greet visitors in the office in a friendly and professional manner. She will also operate the switchboard in a correct manner and deal with incoming and outgoing correspondence. The Receptionist will also be knowledgeable on the office facilities and personnel so that visitor’s questions can be answered.

3. Responsibilities

• Operate the switch-board efficiently and courteously.
• Present a warm, friendly and professional greeting for all visitors
• Direct visitors to their meeting location and advise the NEIH personnel of their arrival
• Register all visitors in the office register and issue visitor passes.
• Check meeting room availability and book meeting rooms for staff when requested.
• Liaise with Bridge Plaza security to ensure visitor parking and in-house driver bookings are effectively coordinated.
• Book taxis for visitors when requested
• Distribute in- and out-box to the addressed persons in the office.
• Co-ordinate travel arrangements.
• Maintain the general filing system
• Scanning, photocopying, faxing documents
• Assist in the planning and preparation of meetings, conferences
• Provide word processing support
• Administer all reservations, cancellations.
• Maintain safe and clean reception area.
• Organize drivers’ schedule.
• Process(register) incoming and outgoing mail.

4. Experience

• Minimum of 1year of experience in a similar role
• High education
• Experience of working in a team environment

5. Key skills required:

• Computer literate (MS Office)
• Fluency in Russian and Azerbaijani
• Basic English
• Good written and spoken communication abilities
• Being well organised.
• Being able to prioritise workload
• Being able to work under pressure.

6. Working Environment

Will be based in the office at Bridge Plaza (6 Bakikhanovst.)

7. Salary

Monthly salary range of AZN 300 to AZN 350 depending on experience

8. Working hours

• Monday to Friday 9am to 6pm (min of 40 hrs/week)
• Additional time and weekend working may be required in exceptional cases.
