Reports to:     Front Office Manager

Position Overview: 

The Night Manager is the Manager on Duty and responsible for all hotel operations during overnight shift hours, focusing on Front Office operations, night audit and hotel safety/security. The Night Manager assists the Front Office Manager in all aspects of the department including but not limited to operations, planning, budgeting, staffing and payroll in accordance with hotel policies and procedures. Essential Duties & Responsibilities:

• Manage and monitor activities of all employees in the Front Office department making sure they adhere to the standards of excellence and to the guidelines set in the employee handbook, hotel policies and procedures, coaching, training and correcting where needed.
• Maintain a professional and high quality service oriented environment at all times.
• Act as manager on duty for the hotel in the absence of the Front Office Manager dealing with complaints, problem solving, disturbances, special requests and any other issues that may arise.
• Manage the night shift in the department ensuring all employees perform the tasks assigned to them and coordinate Front Office activities with other departments.
• Inform all Overnight staff of nightly activities, group and VIP arrivals as well as special requests and repeat guests. Check accommodations, making sure any special requests are carried out accordingly, greet guests upon arrival and ensure escort to accommodations if appropriate.
• Must be able to do scheduling, payroll and other paperwork
•  Must actively participate in the decision making process on guest relocation for nights when over capacity, execute accordingly and ensure a smooth relocation process. This effort must be coordinated with the Front Office Manager and/or Manager on Duty prior to shift start.
• Ensure the accurate completion of the daily night audit in a timely fashion. Must be able to perform the full night audit if needed.
• Assist the Front Office Manager in implementing and enforcing financial controls throughout the department, helping with control of operating expenses, scheduling and purchasing.
•  Be aware and able to enforce all fire-life-safety procedures. Remain current in all updates with regards to new procedures and training. Ensure staff is fully trained in emergency procedures. This position is a member of the hotel’s emergency response team.
• Report any suspicious persons, activities and/or hazardous conditions to the Security department and/or the Front Office Manager.
• Deliver excellent customer service and maintain a high standard of customer management, at all times
• Fulfill all reasonable requests from guests, to ensure their comfort, satisfaction and safety
• Ensure that our hotels are operated safely, at all times
• Undertake overnight responsibility for reception, checking guests in and out, taking reservations and dealing with all telephone enquiries
• Maintain knowledge of all company promotions and hotel pricing, to provide information to guests, on request
• Be responsible for evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services; be accountable for guests’ safety and comfort
• Complete security checks at hourly intervals throughout the night
• Complete manager’s log book and maintain accurate records of all fire safety checks carried out during the shift
• Undertake additional administration duties, as requested by either the hotel manager
• Adhere to company policy for reporting accidents and incidents
• Always adhere to all company policies and procedures and licensing laws
• Be involved and contribute at team meetings
• Carry out instructions given by the management team and head office
• Greeting Guests, Checking them into their rooms, & Cashiering
• Stocking Linens and Supplies at Front Desk and in other areas of hotel for the following day
• Walking Halls to ensure security of the guests and the building
• Responding to Emergencies such as guest medical issues, criminal activities that require police, power outages, plumbing issues, shoveling snow,etc.)
• Printing and delivering notices to guests
• Setting Wake up Calls on the phone system 
• Ensuring the breakfast is ready on time
• Monitoring additional areas of the hotel (fitness center, parking area, etc.)

Qualifications:

Education: High School diploma

Experience: Previous Front Office experience in supervisory/management capacity. Previous customer service and general computer experience required. Minimum 3 years work experience in the past at the same position or similar position in a big hotel.

Supervisory Responsibilities: Responsible for supervision and training of all Front Office Night Audit employees and supervision of all hotels overnight staff.

Language Skills: Excellent knowledge of the Azeri, Russian and English languages are mandatory as well as the ability to speak, read and write clearly.
