Key Responsibilities:

  1. Tender Analysis and Preparation: Review, analyze, and prepare tenders, proposals, and pre-qualification responses, focusing on the technical, commercial, and contractual aspects of these documents.
  2. Document Collection: Gather all necessary documents to be included in the offer, such as pre-qualification, technical and operational documentation, QA/QC, HSE, pricing, commercial and legal exceptions, certification, bank guarantees & bonds, etc.
  3. Tender Distribution and Management: Distribute tender packages across relevant teams, establishing specific tasks per team, and ensuring their input is collected within the required deadlines. Manage all aspects of bid preparation in line with Clients' Tender Procedures.
  4. Risk Review: Collaborate with the Procurement and Sales Teams to facilitate deal and risk reviews, mitigating unquantified risks during the bid preparation phases.
  5. Tender Understanding: Develop a robust understanding of the nature of works along with project and tender requirements. Assist in the preparation of compliance statements.
  6. Interdepartmental Collaboration: Cultivate strong working relationships with other functions (Project Control, Construction, Design, Architects, Procurement, Sales, Cost Control, Finance, Tax, Logistics, Customs, Warehouse, etc.) to promote effective communication, on-time responses, and improved information flow.
  7. Tender Submission Process: Monitor the tender submission process for formatting, completeness, consistency, and compliance, ensuring all submissions adhere to the established standards and procedures.
  8. Customer Point of Contact: Act as the company's internal contact point for the customer during the enquiry and bidding processes.
  9. Tender Tracking: Handle incoming tenders, maintain a prioritized list of outstanding tasks, and assist in the analysis of tender requirements.
  10. Customer Queries: Respond to the tender participant's technical-based questions in a timely and efficient manner.
  11. Tender Documentation: Clarify subsequent documents and prepare detailed tender documentations in a timely manner for contract engineering/commercial specialists to execute the contract.
  12. Request for Proposals: Prepare Request for Proposals and obtain price offers from vendors during the tender process as per drawings and specifications.
  13. Problem Solving: Analyze and resolve a wide variety of problems encountered through coordination with the internal team and client representatives.

Qualifications:

  • A bachelor’s degree in business, Engineering, or a related field.
  • A minimum of 3 years' experience as a Tender Specialist or in a similar role, preferably in the civil construction industry.
  • Excellent knowledge of the tendering process and contract law.
  • Understanding of contract terminology, competitive bids, purchase orders, and vendor relationship management 
  • Strong organizational and multitasking skills.
  • Proficient in the use of MS Office and relevant software.
  • Excellent communication, organizational, analytical, and interpersonal skills, with a proven ability to collaborate with a variety of stakeholders.
  • Knowledge of tracking, planning, scheduling,
  • Knowledge of construction tools and equipment.
  • Ability to read drawings and layouts is required with basic knowledge of AutoCAD functions as a benefit.
