Work Position: Subcontracts Administrator

Roles and responsibilities of Subcontractor Administrator are:

• Attend subcontract meetings (progress, technical and commercial);
• Prepare and issue Minutes of Meeting (MoM) for all Subcontract meetings;
• Ensure that Subcontractor conforms to the provisions of the Subcontract;
• Advise the Cost Control Manager of any circumstances or events involving changes in anticipated schedule, cost or performance of the subcontract (including construction and commissioning works as a whole) ;
• Advise the Cost Control Manager of potential claim situations, proposing some different alternatives to mitigate them;
• Provide assistance and information to Supervision and Inspection Team, related to the terms and conditions of the Subcontracts;
• Prepares and/or approves the monthly received certifications of the subcontractors;
• Responsible of the list related to received, approved and monthly paid certifications;
• Responsible for the extra work administration (OTS/FEWOS), saving an actualized list of extra works presented, approved, rejected, etc., based on the applicable format;
• Responsible for the administration and management of all the generated back charges, being responsible for its application and communication to whom it might concern;
• To manage and update the back charges list, including all the generated in origin, accepted, and executed, following the applicable format;
• Prepare and send letters to Subcontractors, maintaining letter logs and working files for assigned Subcontracts;
• Advise Subcontractor to cut off dates to report and invoice submission. Reviews and administers invoices from Subcontractors;
• Raise and issues Subcontract Payment Application forms;
• Prepare a program to review any claim received by Subcontractors;
• Issue all contractual certificates for the Subcontractors.
