The Swiss Embassy in Baku is looking for an

Executive Assistant to the Ambassador

Starting date: 1st November 2018 (or earlier / by agreement)

Job Description:

As the personal assistant of the Ambassador you will be in charge of ensuring a functioning infrastructure for the Head of Mission. Your tasks include managing his daily agenda, organizing official journeys, provide support for high-level visits and manage official invitations by the embassy of Switzerland. You will also provide translations both in oral and in writing and maintain the database of contacts.

Your specific responsibilities include overseeing the administration of Ambassador’s diary; planning and organizing events at the Embassy and at the Residence (logistics and catering) and organizing official trips incl. the coordination of the Ambassador’s driver’s assignments. You will also process the ambassador’s travel reports, various expenditure sheets, write diplomatic notes and look after the Facebook account of the Embassy.

You will be the point of entry for contacts with the Ambassador. You will interact with the Swiss Federal Department of Foreign Affairs and its officials. You will maintain relevant telephone, mail and fax communications and serve as liaison with the Management Team of the Embassy. You will manage correspondence in several languages and attend to other secretarial work. Additional duties beyond those listed here will be determined and assigned as needed.

To be a successful candidate, you must be able to multitask, be stress-resistant and be a strong team-player. Trustworthiness and 100% discretion are a must for this position of confidence. You also need to be persistent in a courteous manner. Practical experience with diplomatic protocol and long-standing relationship with Switzerland are both important advantages.

Criteria:

- Several years of employment experience in a diplomatic, international or related fields
- Full computer literacy with Microsoft (Word, Excel, Outlook, Power point)
- Exceptional organizational skills and ability to work independently and under stress
- Excellent interpersonal skills
- Personal integrity and trustworthiness
- Flexible and capable to take initiatives
- Able to multitask and pay attention to details
- Excellent command of English, Azerbaijani and Russian a must; in addition with skills of one Swiss national language (preferably German or French)
- Translation skills both in writing and oral
- Interest and skills related to social media
- Basic understanding of Switzerland’s political institutions
