Role synopsis

Due to recent contract wins, PD&MS Group are looking for a Technical Assistant to join the team based in Baku, Azerbaijan.  The role requires a high degree of Drilling Equipment and System knowledge.

The successful candidate will assist various project services / technical positions (HR, General Administration, Materials and Logistics, QHSE, Engineering, Construction), in delivery of administrative tasks and documents relating to those areas.

Key Responsibilities

• Filing of Company electronic and paper documents as per company procedures
• Copying and Scanning of paper documents as per company procedures
• Demonstration of safe approach in working and challenge unsafe activities
• Produce, amend and update documents using Word, Excel and PowerPoint
• Adopt best practice in the undertaking of duties
• Assist Engineering and Project Engineers with administration and filing activities
• Assist Construction department with administration activities
• Assist DCC department with basic filing and administration activities
• Assist QHSE department with administration activities
• Assist Materials / Logistics department with administration activities
• Provide cover for Office Administrator / Management PA
• Assist HR department with Learning and Development activities as noted: 
• Administer all Learning and Development activities within the Baku office, including maintenance of records ensuring programme information is issued to personnel in a timely and competent manner.
• Focal point for all Learning and Development queries within the Baku office
• Compilation of National employee 12 month training plans, monitoring and upkeep, ensure planned training is expedited/ occurs and report to Country Manger if delayed.
• Ensure individual training ‘log-books’ are updated by period checking of individuals to confirm accuracy
• Liaise with the Learning and Development Co-ordinator to undertake the preparation, publishing and circulation of the internal learning programme, being responsible for the promotion of workshops in order to ensure maximum take up within the Baku office
• Ensure staff have appropriate access to training and development events 
• Assist in developing and disseminating learning materials, training hand outs and briefings 
• Liaise with external vendors on the commissioning of training
• Manage the running of the PD&MS Graduate Scheme in conjunction with the Learning and Development Co-ordinator within the Baku office
• Undertake other specific Learning and Development projects as directed
• Administer training requests ensuring management approval is in place, booking of training and logistics where required
• Resolution of any issues or problems arising from booked training
• Ensure copies of certification are passed to the HR Department for recording on personnel files
• In conjunction with the Learning and Development Coordinator, ensure training matrix and tracking of expiration of certificates is maintained.
• Close working with the HR Migration Coordinator and Learning and Development Coordinator
• Responsible for ensuring professional development is maintained and identified competency requirements are undertaken in a timely manner.
• Adherence to the Company Integrated Management System
• Compliance with Quality Assurance, Health and Safety and Environmental Policies
• Demonstrate and promote PD&MS QHSE principles 
• Ensure unsafe activities are challenged.
• Adherence to the requirements of best practice standards recommendations and processes in the undertaking of duties
• Demonstrate and promote PD&MS values and lead by example.

Essential qualifications and experience

• Minimum of 3 standard grades at grade 3 or higher or equivalent
• Demonstrable experience in a similar role
• Proficient in the use of MS office packages including Word, Excel, Outlook, Access and PowerPoint
• Excellent written and spoken English
