POSITION TITLE: Project-Coordinator (Multimodal)
DEPARTMENT: OPS
REPORTING TO: Operations Manager
1. OBJECTIVES:
• Co-Ordination of Multimodal - Import / Export
• Control of Customs Temporary Import/Export in conjunction with Temporary Dept
• Control of Responsible storage
• Control of timely invoicing out of job files
• Determine areas where efficiency and effectiveness can be improved
• Supervision of customs brokers
• Reporting functions to Operations Manager
2. ROLES AND RESPONSIBILTIES:
• Monitor timing of customs clearance, via Co-ordination with customs clerks.
• Monitor Tracking and Tracing of all import/export shipments
• Assist with solving discrepancy in documents/freight
• Raise Non Conformance Reports and follow up with closure
• Issue Quotations upon request
• Liaise with local/international agents and determine best prices that ensures sound profit
• Ensure all communication and correspondence with customer/agent is presented in professional manner
• Support & inform client on all deliveries
• Support and inform Management as & when required.
• Support and liaise as necessary with other departments/warehouse to ensure that company’s goals are achieved
• Share knowledge/skills; provide guidance and supervision to new colleagues.
• Additional tasks as requested.
• To maintain total confidentiality
Sales
- Handle quotations and customs clearance rate request
- Call to existing customers and seek potential extra sales
- Call to potential customers and seek opportunities for new sales
Reporting
- Monthly job files, volume of shipments, profits, quotations
- Changes to local legislations/customs legislations that affect transportation
Communication
- Make sure that management receive all required information in due time
- Make sure that customers/agents receive required information in due time
- Make sure that assistance is given to other departments when required
- Make sure that complaints are answered within 24 hours and reported to the line manager
3. QUALIFICATIONS / EXPERIENCE REQUIREMENTS
• Excellent written and spoken English, Russian, Azeri.
• Computer literacy - competency in MSWord, MSExcel, MSOutlook are essential.
• Good communication skills, tactful and persuasive.
• Accurate, organized, practical and realistic.
• Professional telephone manner.
• Strong organizational ability.
• Motivated personality, ambitious to learn about business.
• Responsible and able to make day-to-day decisions independently.
• Ability to work odd hours and overtime if required.
• General Knowledge of freight forwarding
