Job Title: Project Assistant

We are urgently looking for experienced candidate to fulfill Project Assistant position who will provide general administrative and technical support to projects, under supervision of  project manager. The candidate must have minimum 2-3 years of similar experience, expertise in Construction&Engineering based companies and projects. Technical experience and technical education background is a must.

Job responsibilities

• Provide assistance to Project Manager in Construction&Engineering projects, preparation of  tender documents, quotations, purchase orders, proposals, plans and reports;
• Organize and maintain project files and databases;
• Assist with monitoring the project budget, scheduling meetings and preparing presentations;
• Work collaboratively with the project manager and team to maximize productivity;
• Collaborate with the whole project team, contributing to the entire project lifecycle;
• Coordinate efforts within the team and with outside consultants efficiently;
• Report updates verbally and in written form to management;
• To work closely and effectively with the Manager to keep him well informed of upcoming commitments and responsibilities;
• To proactively manage the Project Manager’s time, ensuring regular catch-up meetings to review and update on diary commitments and key priorities both with internal and external contacts, exercising a high level of judgment on priorities;
• To provide a bridge for smooth communication between the Project Manager and internal departments;
• Devising and maintaining office systems, including data management and filing;
• Organizing and maintaining Project manager’s diaries and making appointments;
• Dealing with incoming email, faxes and post, often corresponding on behalf of the Project manager;
• Taking dictation and minutes of meetings ;
• Complete any necessary administrative tasks, such as research and email.

Requirements

1. Work experience in a related role;
2. Computer skills: Word, Excel, PowerPoint, Outlook and Internet.
3. Excellent oral and written communication skills  both in Azerbaijani and English.
4. Excellent inter-personal and communication skills;
5. Excellent organizational skills, ability to multi-task and organize others;
6. Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances;

Salary  700 - 900 AZN Net
