Job Title: Coordinator/ Admin

Our company is international company based on UK (United Kingdom). We need to recruit “Coordinator/ Admin” who should be fully familiar that job and has working experience in this position.

Responsibilities:

1. To provide a high level of support to the administrative team and office employees;
2. To translate document/ letter/ e- mail from English to Azeri or Russian language.
3. To provide a bridge for smooth communication between the administrative team/ clients and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff;
4. To ensure a high standard of administration and provide guidance as appropriate on the production of internal and external documents;
5. Screening phone calls, enquiries and requests, and handling them when appropriate;
6. To answer respond client’s requests, register in the income and outcome tables.
7. To update current clients about our products, and provide them with details about all our products.
8. To provide catering services for tea break times, lunch time and office requests (order water, etc.).
9. Close interaction with Project Team and Operations staff as well as giving services to other PE project team members
10. To ensure that appropriate admin arrangements are available at all locations where required.
11. Responsible for the establishment of File Index Procedure.
12. Control of issue and receipt of admin related matters including but not limited to transportation, inventory management, store management.
13. Arrange and Log visa and visa status of other overseas office employees and apply for obtaining LOI for visitors when required
14. Arrange visa and passport requirements for all staff/visitors
15. Arrange and log training and certification records of staff
16. Cash management and accounting for cash issuance and expense tracking.
17. Keep the ‘’ Operations Crew Candidates Overview’’ list updated
18. Assist in document management and control of all Supply Chain documentation
19. Assisting in sourcing activities from local as well as international markets and analyzing
quotations in liaison with technical teams
20. Coordinate purchase orders for signatures by the Supply Chain/General Manager/Requestor
21. Keep the PO & Invoice (local & overseas) files updated
22. Process customer PO’s, Invoices and contracts.
23. Responsible in distribution, receipt and maintenance of original documents.
24. To ensure that appropriate admin arrangements are available at all locations where
required.
25. Responsible for the establishment of File Index Procedure.
26. Control of issue and receipt of admin related matters

Required skills and experience:

1. Professional experience of 1-5 years working as Assistant.
2. Full time employee.
3. University degree or higher;
4. Excellent oral and written communications skills in Russian, Azerbaijani and English.
5. Will be entrance computer and languages exams (specking, Writing and reading).
6. Maximum age is 35 years old.
7. Excellent organizational skills, ability to multi-task and organize others;
8. Excellent oral and written communication skills and ability to professionally represent the team;
9. Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances;
10. Must be a good team player.
11. Must be a self-motivator and able to work without close supervision.
12. Must be able to prioritize jobs and work under tight time constraints and within tight deadlines/ schedules.
13. Must be positive, dynamic and creative with a “Can Do” mind-set.
14. Must have strong communication skills both written and oral.
15. Proficient in MS Office, MS Project and other related software.
16. Salary is Negotiable.
