Admin/Program Assistant

Chemonics International, a global consulting and international development firm, seeks an Admin/Program Assistant for the USAID-funded Project Building Local Capacity for Development (BLCD), based in Baku, Azerbaijan. The goal of the BLCD project is to assist selected Azerbaijani civil society organizations with a combination of technical assistance, training, logistics, commodity procurement in order increase the capacity of civil society organizations to fulfill their functions as reliable partners to the Government of Azerbaijan.
This assignment will be for approximately one year, beginning on or around May 11, 2015. Admin/Program Assistant is responsible for providing administrative and programmatic assistance with all tasks related to project office administration and to the technical team.  Admin/Program Assistant position responsibilities include but are not limited to assistance in administration, grants, program logistics, procurement, translation etc.

Qualifications:

• Bachelor’s degree is required
• Experience working on donor-funded programs required, experience on USAID-funded projects preferred
• Fluency in written and spoken Azerbaijani and English  required
• Ability to pay close attention to detail with a high degree of accuracy.
• Ability to perform routine, repetitive tasks accurately
• Organized and able to problem solve           

Responsibilities:

• Receiving incoming calls, greeting project visitors
• Assist in coordinating travel arrangements, ticket reservations and hotel bookings in a timely manner
• Assist in translating letters  into Azerbaijani and/or English
• Provide consecutive translation at meetings
• Provide support in preparation of project events including trainings, conferences, workshops
• Coordinate IT issues
• Assist in coordinating vendor relations
• Assist in managing project filing system and printing needed project materials
• Photocopy, scan and file payment requests and all supporting documents. Scans Abacus vouchers and sends electronic copies to HO.
• Office maintenance
• Order of stationery and household supplies
• Coordination and filing incoming and outgoing correspondence
• Assist in inventory process
• Coordinate the taxi arrangement
• Perform any other task that is consistent with the Admin/Program Assistant’s skills and experience
