JOB TITLE: Office Assistant
REPORTS TO: Services Administration Supervisor
SPECIAL FACTORS:
The Office Assistants are work in a Department/Floor; they report to the Administration Supervisor.
ESSENTIAL DUTIES & RESPONSIBILITIES:
1. Cleans the assigned offices premises, desks and other office furniture and keeps common areas in neat and clean order. Disposes of trash.
2. Collects and delivers mail to other departments within the office.
3. Serves refreshments (tea/coffee/water/juice) to employees and visitors.
4. Greets visitors and directs them to respective offices.
5. Photocopies, sorts, staples and/or binds documents as required.
6. Helps to shift/move office furniture when required.
7. Maintains the stock of office stationery given to the department.
8. Maintains the store room of the department.
9. Maintains the department’s kitchen. Makes requisition for kitchen supplies and stores these properly. Cleans glasses, cups and saucers.
10. Maintains the kitchen equipments in good order and reports any defects/repairs needed to the Supervisor.
11. Perform miscellaneous job related duties as assigned.
12. Mail Support Sending/receiving mail, couriers, resigned staff notices to banks, checking and helping with the post mail & couriers.
13. Assisting & fixing the telephones extensions for all Staff.
QUALIFICATIONS
High School
EXPERIENCE
At least 2 years experience as an Office Assistant
KNOWLEDGE
Able to speak, read and write English

• Organization skills,
• Ability to get along with employees and maintain a cheerful atmosphere.
• Courteous and Polite
• Ability to receive and carry out verbal and written instructions accurately.
• Able to lift up to 25 pounds repetitively. Occasionally lifts up to 50 pounds non-repetitive. With assistance, occasionally lift over 50 pounds.
• Good housekeeping, equipment maintenance, basic safety, independence, attention to detail, self-motivated, initiative driven.
