Office manager

Rabotodatel: Trading house of  the biggest and only producer of MDF, HDF, laminate flooring, Doors in Caucasus

Duties and functions

• Manage admin. purchases
• Arrange computer services;
• Ensuring and maintaining of office equipment (photocopiers, fax machines, phone systems and etc.) in readiness for operation, responding and implementation of requests for new additional equipments;
• Answer phone calls and transfer to appropriate staff;
• Log and sort outgoing and incoming mails and documentation;
• Oversee the use of the fax machine, photocopier and other office equipment;
• Perform administrative tasks like typing letter, and it registration;
• To send invoices to companies;
•  Welcome the visitors;
• Check supplier invoices against purchase orders for administration charges;
• Issue of Expense Claim Forms for administration charges;
• Make travel arrangements (booking and purchase of tickets, etc.);
• Arrange accommodation for foreigners (hotel booking etc.);
• Arrange airport pick-up for guests;
• Manage with the public utilities (electricity, gas, water, sewerage);
• Organize annual get – together;
• Preparing of visa documents;
• Translation of documentation;
•  Good working knowledge of current office equipment and procedures

Requirements

• Higher education;
• At least 2 (two) years’ experience in the  relevant field;
• Language skills: Azerbaijani- native, English-excellent, Russian-excellent;
• Computer skills:  Microsoft Office, İnternet Explorer.
