Job Role Responsibilities:

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Register of incoming and outgoing correspondence 
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Receive and sort daily mail/deliveries/couriers
  • Maintain security by following procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Update appointment calendars and schedule meetings/appointments
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
  • Assist with ad-hoc business administration
  • Purchase office supplies for office use from external supplier
  • Keep an accurate log of files and archive documents
  • Maintain safe and clean reception area by complying with procedures, rules, and regulations;
  • Contribute to team effort by accomplishing related results as needed

Knowledge / Skills / Attributes:

  • Proven working experience in a front office handling receptionist responsibilities
  • Solid communication skills both written and verbal
  • Proficient in MS Office
  • High school degree
  • Professional appearance
  • Fluency in Azerbaijani and Russian, good in English
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
