Job Title: Project Services Co-ordinator
Purpose of Job
Customer order management, managing the customer order from receipt through to close out. Ensure financial and delivery requirements are met for business and customer through consistent job monitoring/reporting. Verification, monitoring and reporting of project costs and final billing to customers. Minimize company exposure and risk by pre-emptively identifying project issues.
Accountabilities
Verification, tracking and analysing project costs, ensuring projects costs remain within budgetary limits.
Customer order management, registering new orders in company ERP system, preparing and maintaining of cost reports, receiving orders and generating purchase requests for services or materials.
Provide effective levels of project services support to operations and external customers.
Verification and checking of internal time bookings, indirect, direct or 3rd party costs to projects
Follow up outstanding payments when necessary with customers.
Developing maintenance and reporting of all internal or external contractual and invoicing /payment KPIs.
Maintain accurate department project logs and cost reports.
Perform project cost analysis, (actuals costs, estimate-to-complete, invoicing) and generate weekly and monthly project progress and cost reports.
Collate and prepare back up documentation to facilitate invoicing to customer and project close out.
Analyse and report on department personnel utilisation and trends.
Review requests for quotations (RFQ’s) and / or sales enquiries. Liase with operations teams and discipline engineers to evaluate / verify technical details or requirements of customer enquiries.
Provide accurate and timely monthly accruals and work in progress reports for department revenue.
Raise purchase order requisitions for equipment, materials or 3rd party services; initiating orders using internal procurement process.
Prepare job sheets, timesheets, or project completion document s when required for customer approval.
Job Requirements
University degree in Finance, Accounting, Procurement or Business Administration.
Minimum 3 years of experience in a similar role.
Knowledge of procurement activities, cost estimating, budgeting, customer order processing and project controls experience.
Excellent Organizational & Administration Skills.
Strong analytical & research skills; Ability to work autonomously and use own initiative.
Experience with ERP systems is desirable.
