JOB TITLE: Asst. Retail Store Controller
REPORTS TO: Retail Manager, functional to Store Controller
SPECIAL FACTORS:
The Store Controller perform the function of internal controls in showrooms and their work is separated from sales activity to ensure that they are in a position to implement company policies and procedures and report any non conformity to the Head Office.
ESSENTIAL DUTIES & RESPONSIBILITIES:
1. Stock Management and Pricing
Responsible for the Central Receiving and Dispatching of goods, including the data entry Responsible for the Cycle counting procedure in the shop Control of the damaged goods and cost issue notes.
Issues samples to Corporate Sales, after obtaining HO approval.
2. Price Management
Responsible for implementing any price changes, resolving queries and reticketing the items.
3. Cash Management
Reconciliation of daily credit card sales/cash sales, bank cheques, gift vouchers
Petty Cash Management and reconciliation
Transaction discrepancies to be resolved.
4. Security and Cleaning
Manage Repairs Control: Maintain the Repairs Book and reconciliation for gym, body section and salon section as well back of the house.
Manage the operational staff such as the Gift Wrappers, Office Assistants, Cashiers, Store Drivers and Security Officers.
Manage the Security and Cleaning Contracts through HO.
Ensure Health and Safety compliance
Asset Control of the shop – Maintain the required documentation for fixed assets in the shop.
Access Control to showroom premises.
5. Financials and Administration
Filing: invoices, goods received notes - all admin related and finance related papers Maintain daily, weekly and monthly targets (store performance report)
Complete the daily, weekly and monthly check list
Analyse monthly P&L and address out of line issues
6. Opex Budget and Control
Prepare retail check list
Recommendations to RM regarding any out of line situations from the retail check list.
Prepare Commission Statements
Capture targets defined for the Outlet
Verification of Work Authorisation for maintenance/other works to be done in the showroom; also verify the labour cards of the personnel carrying out the work.
Mall Administration – Deal with the Mall Management office regarding applicable rules and regulations.
Budget Control and feedback to Retail Manager.
7. Policies and Procedures
Ensure adherence to PG Policies and Procedures
Ensure compliance with Mall procedures
Monitor and Report on Disciplinary actions through applying relevant procedures and policies
Custodian of all policies and procedures.
Maintains the Policy & Procedures Manual and communicates revisions in policy and procedures to shop staff.
8. Other
IT Systems Lead- Attempts to resolve IT related problems and liaises with the HO IT Department.
Barcode Printing
Ordering of Consumables - Juices, Dates, etc.
PLU (Price Look Up) not found reconciliation
Create Sales Data file and upload to HO
Collects and maintains Customer Details and reports these to CRM.
Rectify sales data file for upload
Oversees good housekeeping, neatness and cleanliness.
9. Performs any other miscellaneous job related duties.
QUALIFICATIONS
Graduate in any discipline.
EXPERIENCE
At least 2 years job related experience in a position dealing with order processing, inventory management and analysis.
KNOWLEDGE
Basic knowledge of Accounting principles
Good fluency over written and spoken English
Computer literate; Good proficiency in Excel and Access
Knowledge of handling operations in a retail environment which involves stock management, promotional activities, etc.
Good general commercial knowledge and familiarity with retail FMCG, healthcare and fashion industry business.
