JOB TITLE:  Store Controller

REPORTS TO:  Commercial Support Supervisor

DEPARTMENT:  Commercial 
 
SPECIAL FACTORS:

The Store Controller perform the function of internal controls in showrooms and their work is separated from sales activity to ensure that they are in a position to implement company policies and procedures and report any non conformity to the Head Office.

ESSENTIAL DUTIES & RESPONSIBILITIES:

1. Non Conformity Reports:
 Prepares Reports on non conformity with policy and procedures by showroom personnel and sends these to the Operations Manager.
2. HR Documents:
 Verifies and ensures that the following HR related documents are correctly filled before forwarding to the HR Department.

• General Action Request
• Monthly attendance confirmation
• Leave application 
• Passport request
• Uniform Request

3. Liaison with Training Department:
 Coordinates and follows up with the Training Department on matters related to in-house and supplier arranged training programs for showroom personnel.
4. Liaison with Administration Dept:
 Coordinates and follows up with the Administration Department on matters related to Maintenance, Stationery items and Pantry supplies.
5. Stock Movement Documents:
 Ensures that the following documents related to stock movement in and out of the showroom are accurately completed and filed.

• Invoices     
• LPOs - Product Requisition
• ILTN-IN/OUT   
• ICSI/ ICSR
• Cost issue notes-Public Relations/Damages

6. Ensures that documents are filed and maintained in showroom records and originals are forwarded to the inventory department.
7. Monitors the discounts given to customers to ensure that these are in accordance with the policies decided for the specific brand.
8. Checks whether POS daily report is cross verified and ensures that all supporting documents are maintained properly and forwarded to the  accounts department with the daily sales report.
9. Monitors the Sales returns accepted in the showroom to ensure that these are in accordance with the policies of Paris Gallery.
10. Checks the suppliers’ invoices for delivery of goods to the showroom and ensures that invoices carry discounts as agreed with the suppliers.
11. Follows up with the suppliers for relevant credit note and coordinates with  the Accounts Dept.
12. Receives all the stock delivered to the showroom by the suppliers and ensures that stocks received are as per the invoice.
13. Reports any damage or breakage of products to HO.
14. Manually verifies the stock after the stock taking is over to ensure the validity of the stock report and forwards all documents to Inventory Department.
15. Coordinates with DCO’s, Gift Wrappers, Office Boys, Security, Drivers and Hostesses.
16. Monitors the staff scheduling done by the Supervisor & Showroom  Manager and ensures that the schedule is working smoothly. 
17. Verifies all petty cash transactions and reimbursement of expenses from petty cash. 
18. Window Display: Ensures window display and podium are changed  according to advice received from the head office.
19. Follows up with mall management regarding Gift Vouchers.
20. Follows up and monitors all the promotion activities and promotions planned by the head office.
21. Price Revision: Ensures that new prices are strictly implemented when price  revision advice is received from the head office.  
22. Performs any other miscellaneous job related duties.

QUALIFICATIONS

Graduate in any discipline.

EXPERIENCE

At least 2 years job related experience in a position dealing with order processing, inventory management and analysis.

KNOWLEDGE

 Basic knowledge of Accounting principles
 Good fluency over written and spoken English 
 Computer literate; Good proficiency in Excel and Access
 Knowledge of handling operations in a retail environment which involves stock management, promotional activities, etc.
 Good general commercial knowledge and familiarity with retail FMCG, healthcare and fashion industry business.

 Knowledge of retail purchasing methods and procedures.
